# Refunds (Acquiring)

> The merchant dashboard Payment > Transactions > Refunds tab — view, filter, and export every refund on the account and view a single refund's details; refunds are initiated from the originating payment, not this page, and tracked here afterward.

## What this is

This is the **Refunds** tab under **Transactions** in the **Payment** module of the merchant dashboard (page title "Refunds", subtitle "Track and manage refund requests"). After entering **Transactions**, there are two tabs at the top — **All transactions** and **Refunds**; this is the **Refunds** tab. Here you view every refund on the account, filter by date, status, currency, amount, or refund/payment ID, export refund reconciliation data, and open a single refund to see its full details. Use this page to check a refund's progress, whether it succeeded, or to export refund detail data.

> **Refunds are not initiated on this page.** A refund must be started from its originating payment (find that payment in the **All transactions** tab and initiate the refund from there); once initiated, the refund appears here for you to track. See "Common questions" below for details.

## Steps

Open the refund list:

1. Enter the **Payment** module and click **Transactions** in the left nav.
2. Select the **Refunds** tab at the top (sibling tab: **All transactions**).
3. The list shows the last 3 months of refunds by default; narrow it down with the toolbar filters.

Filter and search:

1. **Date**: use the date range picker to choose a period, or select **All time**.
2. **Status**: check one or more refund statuses (Succeeded / Initiated / Processing / Failed), multi-select supported.
3. **Currency**: check one or more currencies to filter.
4. **Amount range**: enter min / max amounts to filter.
5. **Search**: search by Refund ID or Payment ID (placeholder "Search by refund ID, payment ID...").
6. Active filters appear as tags under **Filtered by**; click the "x" on a tag to remove it, or click **Clear all** to clear everything.

View a single refund's details:

1. Click a row (or open the row's **⋯** menu → **View details**).
2. A **Refund details** panel slides in from the right, showing the amount, status, both party IDs, payment breakdown, payment method, timeline, and more.

View the trend chart: click **Show chart** to the right of the status bar to view it, switching between "Amount / Count" and bar / line chart. Viewing the **Amount** chart requires selecting a single currency first (otherwise it shows "Select one currency to view amount").

Export:

* Click **Export** in the toolbar to open the "Export report" dialog and generate a refund report (the report is generated asynchronously; download it from the Reports page once ready).
* Check one or more rows to reveal **Export selected** on the selection bar at the top, exporting the selected refunds as a file (up to 100 at a time).

## Fields and statuses

**List columns:**

**Refund status:**

| Status     | Meaning                                        |
| ---------- | ---------------------------------------------- |
| Initiated  | Refund has been initiated, awaiting processing |
| Processing | Refund is processing                           |
| Pending    | Refund is pending                              |
| Succeeded  | Refund succeeded                               |
| Failed     | Refund failed                                  |

> The **Status** filter in the toolbar above the list offers: Succeeded, Initiated, Processing, Failed.

**Status bar**: four counts above the list — **Total**, **Succeeded**, **Pending**, **Failed** — updated live based on current filters.

**Refund details panel fields**:

* **Transaction Overview**: refund amount, status, Refund ID, Payment ID, Merchant order ID, Type, Account, Account ID, Reason, Description, Source.
* **Payment Breakdown**: Refund amount, Processing fee, Net amount, Net settlement time.
* **Payment Method**: Method, Product, Card number, Card type, Country.
* **Details**: Created, Completed, Last updated.
* **Timeline**: a record of the refund's processing nodes (shows "No timeline data" when empty).

**Refund type (Type field in the details panel):**

## Edge cases and troubleshooting

* **List shows "No refunds yet"**: the account has no refund records yet; the hint reads "Refunds will appear here once activity begins."
* **"No refunds match your filters"**: the current filter has no matches; the hint reads "Try adjusting your filter criteria." Click **Clear filters** or **Clear all** and try again.
* **The "Amount" chart option is disabled / grayed out**: viewing the amount trend requires selecting exactly one currency; with multiple or no currencies selected, only the "Count" chart is available, showing "Select one currency to view amount."
* **Only 100 records can be selected for export at a time**: the bulk-selection cap is 100; exceeding it triggers a message — export in batches or narrow the range with filters first.
* **Looking for where to initiate a refund**: refunds aren't started on this page — go to the **All transactions** tab and open the payment you want to refund (see below).
* **A single refund stuck at "Processing / Initiated"**: this reflects that refund's real-time progress — rely on the status and timeline in the details panel; refunds typically take some time to appear on a customer's statement.

## Common questions (Q\&A)

* **Q: Where do I see my refund records? / How do I check refunds?** A: **Payment** → **Transactions** in the left nav → **Refunds** tab at the top — the list shows every refund on the account, filterable by date, status, currency, amount, or refund/payment ID.
* **Q: How do I initiate / request a refund?** A: You can't start a refund from the **Refunds** tab. Go to the **All transactions** tab, find the payment you want to refund, and initiate the refund from there (enter the refund amount, choose a reason such as Duplicate / Fraudulent / Requested by customer / Other, and submit). Once submitted, the refund appears in this **Refunds** list for you to track.
* **Q: What refund statuses are there?** A: Initiated, Processing, Pending, Succeeded, Failed; the **Status** filter at the top lets you filter by Succeeded, Initiated, Processing, or Failed.
* **Q: What does status "Processing / Initiated" mean?** A: The refund has been submitted and is being processed, without a final outcome yet — rely on the status and timeline in the details panel.
* **Q: How long until a refund posts / shows on the customer's statement?** A: Refunds typically take 5–10 days to appear on a customer's statement; the exact timing depends on the card network or issuing bank.
* **Q: How do I find a refund by Refund ID or Payment ID?** A: Use **Search** in the toolbar and enter the Refund ID or Payment ID.
* **Q: How do I export refund data / a refund reconciliation report?** A: Click **Export** in the toolbar to open the "Export report" dialog and generate a refund report; or check rows and click **Export selected** (up to 100 at a time).
* **Q: What information can I see in refund details?** A: Refund amount, status, Refund ID, Payment ID, Merchant order ID, Type, Account, Reason, Description, Payment Breakdown (refund amount / processing fee / net amount / net settlement time), Payment Method (method / product / card number / card type / country), Created/Completed/Last updated times, and the processing timeline.
